Todoal provides email notifications as part of its Pro subscription features. This Email Policy explains how Todoal sends email notifications, what types of emails users may receive, how email scheduling works, and how users can manage their email preferences.
1. Email Notifications
Todoal Pro users may receive scheduled email notifications containing information related to their Todoal account. These emails may include:
- Daily task information
- Top Priorities
- Permanent Reminders
- Task completion information
- Daily planning information
- Progress summaries
- Other information directly related to the user's Todoal account
Todoal does not use these emails to send unrelated promotional content unless the user has separately consented where required by applicable law.
2. Scheduled Email Delivery
Pro users can configure up to four daily email times. Scheduled emails are based on the user's selected timezone.
Todoal stores the user's timezone using a standard IANA timezone identifier such as America/New_York, Asia/Shanghai, or Asia/Kolkata.
Todoal uses this timezone to determine the user's local date and local time before processing scheduled email delivery. This means a user in New York receives scheduled emails according to New York local time while a user in India receives them according to India local time. Daylight Saving Time changes are automatically handled through the user's timezone.
3. Empty Day Email
If a Pro user has no tasks and no active Permanent Reminders for the current day, Todoal may send one Empty Day email at 09:00 in the user's local timezone.
If the user has at least one task or at least one active Permanent Reminder, the Empty Day email is not sent. If a user receives the Empty Day email and later adds a task or Permanent Reminder, the user's normal scheduled email system may continue for that day subject to the applicable delivery limits.
4. Daily Email Limit
Todoal limits scheduled email delivery to a maximum of four normal emails per day for Pro users. The system also prevents duplicate delivery of the same scheduled email.
Changing an email schedule after an email has already been delivered does not allow the user to receive an additional replacement email during the same day. The changed schedule will apply to the appropriate future delivery period. This protection exists to prevent accidental duplicate delivery and abuse of the email system.
5. Changing Email Times
Pro users may change their scheduled email times subject to the limits displayed within the Todoal application.
If a scheduled email has not yet been delivered, the updated time may apply to the current day. If the corresponding scheduled email has already been delivered, the changed time will apply from the next eligible day rather than generating another email for the same delivery period.
6. Email Content
Todoal email notifications are designed to provide useful information based on the user's Todoal activity. Depending on the notification type, an email may contain tasks, completion status, top priorities, permanent reminders, daily progress, remaining work, planning information, and links to the Todoal application. Todoal does not intentionally include sensitive account information that is unnecessary for the purpose of the notification.
7. Email Preferences
Users can manage email notification settings through their Todoal account where applicable. Users may disable eligible email notifications through the available settings. Disabling email notifications does not necessarily prevent essential service communications related to the user's account, subscription, security, billing, or other necessary administrative matters.
8. Transactional and Service Emails
Some communications may be necessary to operate the Todoal service. These may include account communications, subscription confirmations, billing receipts, security notifications, account deletion confirmations, and important service notices.
9. Unsubscribe
Where an email is optional and legally required unsubscribe functionality is provided, Todoal will provide an appropriate method to stop receiving those communications. Users may also manage available notification settings directly within their Todoal account. Unsubscribing from optional email notifications does not automatically cancel a Todoal subscription.
10. Email Delivery
Todoal uses third-party email delivery infrastructure to deliver email notifications. Email delivery depends on external email providers, internet connectivity, recipient mail servers, spam filters, and other factors outside Todoal's direct control. Todoal cannot guarantee that every email will arrive at an exact second.
11. Email Address Accuracy
Users are responsible for providing and maintaining an accurate email address associated with their Todoal account. Todoal is not responsible for missed notifications caused by an incorrect, inactive, inaccessible, or blocked email address.
12. Data Protection
Todoal processes email addresses and notification-related information as described in its Privacy Policy. Timezone information is used to determine when scheduled notifications should be delivered according to the user's local time.
13. Abuse Prevention
Todoal uses technical controls to prevent excessive email delivery and abuse, including daily delivery limits, duplicate delivery protection, schedule change restrictions, server-side validation, authentication, and rate limiting.
14. Changes to This Email Policy
Todoal may update this Email Policy when its email functionality, practices, or legal requirements change. The updated version will be published on this page with a revised Last Updated date.
